To that end, the University has made funds available to support student and faculty-sponsored travel to showcase completed student research and creative works.<\/strong><\/p>\n<div>\n<p>Students and faculty sponsors are invited to apply for funds to:<\/p>\n<ul>\n<li style=\"list-style-type: none\">\n<ul>\n<li>travel to a conference where you will give an oral presentation or poster presentation on research or creative works<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<ul>\n<li>attend a competition where you will compete, perform, or otherwise showcase creative work<\/li>\n<\/ul>\n<\/div>\n<h3>Application Requirements &amp; Deadlines<\/h3>\n<div>\n<p>To ensure adequate review, approval, and processing time, applicants must adhere to the following requirements and deadlines:<\/p>\n<ul>\n<li><strong>Submit<\/strong> applications at least three (3) weeks before travel or project activities begin. Applications submitted after travel has occurred will not be considered. Applicants are encouraged to submit while conference abstracts are still under review.<\/li>\n<li>Funding is not guaranteed. Do not purchase airfare, register for conferences, or incur other expenses until official funding approval.<\/li>\n<li>Students traveling to the same event are expected to share lodging and transportation. Additional costs associated with private accommodations or alternate transportation will not be reimbursed.<\/li>\n<li>All applications must be accompanied by a <a href=\"https:\/\/highpointuniversity-my.sharepoint.com\/:x:\/g\/personal\/jaltman0_highpoint_edu\/IQCHN9ZdCNEfQZDkbxKTgsaxAbglcV0xwwJ2ULHLLM3MqLI\" target=\"_blank\" rel=\"noopener\">URCW Budget Excel spreadsheet<\/a> (found in the Additional Forms tab, under the Travel Expense Report and Budget Spreadsheet section, named GROUP BUDGET FORM). Faculty mentor should submit ONE application on behalf of all students traveling together.<\/li>\n<li>Students receiving URCW funding are required to <a href=\"https:\/\/www.highpoint.edu\/urcw\/registering-urcw-activity\/\" target=\"_blank\" rel=\"noopener\">REGISTER<\/a> their research with URCW and PRESENT their work at the annual <a href=\"https:\/\/www.highpoint.edu\/highpurcs\/\" target=\"_blank\" rel=\"noopener\">High-PURCS<\/a> symposium.<\/li>\n<li>Applications will not be reviewed until all required information and supporting documentation are received and submitted.<\/li>\n<li>URCW support must be acknowledged in presentations, posters, publications, performances, exhibits, and other scholarly products resulting from funded activities. Recipients are encouraged to share photographs, abstracts, posters, and presentation materials with URCW, following the funded experience. This can be uploaded along with your reimbursement packet.<\/li>\n<li>Faculty and students should use CONCUR to book travel and can find HPU policies, links and forms through the Business Office&#8217;s link here:\u00a0<a href=\"https:\/\/highpointuniversity.sharepoint.com\/sites\/BusinessOffice\/SitePages\/Home.aspx\" target=\"_blank\" rel=\"noopener\">HPU Business Office Policies and Forms<\/a><\/li>\n<li>NEW: Faculty can find the updated Faculty Request for Business Travel Form here\u00a0<a href=\"https:\/\/acrobat.adobe.com\/id\/urn:aaid:sc:US:7884c40a-32dd-4cf1-8b74-c1b477fc9956\">Faculty Travel Form 2026-2027<\/a><\/li>\n<li>Students can find the appropriate Travel Release Forms (Day vs. Overnight) on <a href=\"https:\/\/www.highpoint.edu\/urcw\/hpu-grants\/urcw-forms-to-accompany-the-grant-application\/\">ADDITIONAL FORMS<\/a>.<\/li>\n<\/ul>\n<\/div>\n<h3>Budget Guidelines<\/h3>\n<p>Funding is available for up to <strong>$1,000 per student<\/strong>, <strong>$1,500 per faculty<\/strong>, and <strong>$19,000 per department, per academic year<\/strong>. These limits apply across all URCW-supported group travel activities during the academic year. <em>Note: A group of faculty at <strong>one<\/strong> conference, can only be supported up to $4,500.<\/em><\/p>\n<p><strong>Expenses Covered <\/strong><\/p>\n<ul>\n<li>Conference or event membership rate<\/li>\n<li>Approved lodging expenses outlined in the award letter<\/li>\n<li>Economy-rate airfare or out-of-state car transportation<\/li>\n<li>If you have any unusual circumstances, contact us at urcw@highpoint.edu.<\/li>\n<\/ul>\n<p><strong>Expenses <em>Not<\/em> Covered<\/strong><\/p>\n<ul>\n<li>Food and beverages<\/li>\n<li>Airfare or hotel add-ons, including early boarding, special seats, room upgrades, or similar optional charges<\/li>\n<li>Tips, mini-bar charges, hotel damages, telephone charges, or other in-room services<\/li>\n<li>Membership fees<\/li>\n<\/ul>\n<p><strong>Note: Provide the most accurate estimates possible.<\/strong> Include all applicable taxes (such as hotel tax) and CONCUR service charges for booking airfare.<\/p>\n<div>\n<h3><strong>Reimbursement Guidelines<\/strong><\/h3>\n<\/div>\n<p><strong>Keep all receipts.<\/strong><\/p>\n<ul>\n<li>Itemized receipts are required for reimbursement.<\/li>\n<li>Be sure they include <i>your <\/i>name, date and credit card account with evidence of payment (no invoices).<\/li>\n<\/ul>\n<p><strong>Submit all reimbursement materials to URCW within two (2) weeks of returning from travel.<\/strong><\/p>\n<ul>\n<li>The Business Office requests that expenses are submitted no more than 60-days after the expense was paid. <a href=\"https:\/\/highpointuniversity.sharepoint.com\/sites\/BusinessOffice\/SitePages\/Home.aspx\" target=\"_blank\" rel=\"noopener\">HPU Travel Expense Delays<\/a><\/li>\n<\/ul>\n<p><strong>Provide the required documentation:<\/strong><\/p>\n<ul>\n<li>Updated URCW Budget Excel Spreadsheet (<a href=\"https:\/\/highpointuniversity-my.sharepoint.com\/:x:\/g\/personal\/jaltman0_highpoint_edu\/EYc31l0I0R9BkORvEpOCxrEBP88bRG3t7vpbkyRhiHopUg?e=paKcE2\" target=\"_blank\" rel=\"noopener\">GROUP TRAVEL)\u00a0<\/a> and document your funding source for each item (i.e., SGA, Credit Card, Professional Development, etc.)<\/li>\n<li>Completed HPU Travel &amp; Business Expense Report for direct reimbursement to an individual&#8217;s credit card. (<a href=\"https:\/\/highpointuniversity.sharepoint.com\/sites\/BusinessOffice\/SitePages\/Home.aspx\" target=\"_blank\" rel=\"noopener\">HPU Travel Policy\/Expense Forms<\/a>)<\/li>\n<li>For a transfer of funds from URCW to another HPU department, school or office, list these amount(s) on your URCW Budget Excel Spreadsheet.<\/li>\n<li>Any additional supporting documentation requested by URCW<\/li>\n<\/ul>\n<p><strong>Submit the completed reimbursement packet to URCW for review and processing. <\/strong>(<a href=\"https:\/\/airtable.com\/appgglRrxRRlg3xyZ\/shrrFKIjF9ho3h8Yl\" target=\"_blank\" rel=\"noopener\">Financial Paperwork Upload<\/a>)<\/p>\n<div>\n<h3><strong>Application Form:<\/strong><\/h3>\n<h5><a href=\"https:\/\/airtable.com\/appgglRrxRRlg3xyZ\/shrux4m9n2Oo7saD1\" target=\"_blank\" rel=\"noopener\"><strong>GROUP TRAVEL GRANT<\/strong><\/a> (<b><i>This form should be used when faculty and students are traveling together. Faculty should complete this form for all attending together).\u00a0<\/i><\/b><\/h5>\n<h5>Students may not travel without a faculty sponsor.<\/h5>\n<p>All applications are reviewed by a subcommittee of the Undergraduate Research &amp; Creative Works Committee. Funding decisions are based on the quality of the application, adherence to program guidelines, budget accuracy, availability of funds, and the potential impact of the proposed activity. Because funding is limited, award amounts may vary and are not guaranteed.<\/p>\n<p>Award recipients will be notified of funding decisions after the review process is complete. You must adhere to the guidelines outlined in your award letter.
